Eligibility and Account Requirements

You must be at least 13 years old to use Submind. If you are under 18, you must have parental or guardian consent. By using Submind, you represent that you meet these age requirements.

To access Submind's features (AI chat with voice recordings, transcription, smart structured notes, cloud sync), you must create an account. You agree to:

• Provide accurate and complete information
• Keep your account credentials secure and confidential
• Notify us immediately of any unauthorized access
• Be responsible for all activities under your account

We reserve the right to suspend or terminate accounts that violate these Terms or provide false information.

How Submind Works

Core Features

Submind provides the following features with secure cloud storage:

• Recording short voice notes with AI transcription
• AI summaries and basic structured notes from voice recordings
• Background audio recording
• Organizing voice notes in color-coded folders
• Searching your voice notes, transcripts, summaries, and AI chats across all devices
• Exporting recordings, AI notes, and summaries in multiple formats
• Cloud sync across all your devices

Premium Features (Submind AI Premium)

The following features require a premium subscription:

• Hours of recording per session with speaker name tagging
• AI chat with your voice notes
• 7 smart structured note types tailored to context (Meeting, Journal, Interview, 1:1, Lecture, and Consultation)
• Multilingual transcription (55+ languages)
• Advanced tools: Speaker name tagging, punctuation, and filler word removal
• Higher accuracy transcription in noisy environments and custom vocabulary training
• Unlimited voice note sessions

Your Content and Ownership

You retain full ownership of all content you create, upload, or store in Submind, including voice recordings, transcriptions, AI summaries, and any other data ("Your Content").

By using Submind, you grant us a limited license to:

• Process Your Content to provide the services you request (transcription, AI analysis, summaries, smart structured notes)
• Store Your Content in our secure cloud storage and sync it across your devices
• Share Your Content with our trusted service providers (Deepgram, Google Gemini) only to the extent necessary to deliver the features you use

We will never:

• Use Your Content to train AI models
• Share Your Content with third parties for advertising or marketing
• Claim ownership of Your Content
• Access Your Content without providing the requested service

You are solely responsible for Your Content and must ensure you have the right to upload and process it through our Service.

Submind AI Premium Subscription

Submind offers premium subscription plans that unlock additional features, including:

• Hours of recording per session with speaker name tagging
• Multilingual transcription (55+ languages)
• Higher accuracy transcription in noisy environments or with complex vocabulary
• AI chat with your voice notes
• 7 smart structured note types tailored to your context (Meeting, Journal, Interview, 1:1, Lecture, and Consultation)
• Advanced transcription: Speaker name tagging, punctuation, and filler word removal
• Custom vocabulary training for higher accuracy with technical terms
• Advanced export options for AI responses and structured notes
• Unlimited voice note sessions

Subscription Terms:

• Subscriptions are billed through the Google Play Store and managed by RevenueCat
• Payment is charged to your Google Play account at confirmation of purchase
• Subscriptions automatically renew unless canceled at least 24 hours before the end of the current period
• You are solely responsible for managing and canceling your subscription through your Google Play account settings
• Premium features remain active until the end of your billing period, even if you cancel
• Submind is not responsible for failed cancellations or renewal charges if you do not cancel through Google Play before the renewal date

Refund Policy

Submind AI Premium subscriptions are non-refundable. However, we may consider refund requests only in the case of accidental purchases.

Accidental Purchase Refunds

Refunds may be granted only if you accidentally subscribed and meet ALL of the following conditions:

• You contact us within 24 hours of the purchase
• You have not used any premium features (transcription minutes remain completely unused)
• You provide proof that the purchase was genuinely accidental

How to Request a Refund:

Email us at contact@submind.co within 24 hours of purchase with your account email, subscription details, and explanation of how the purchase was accidental. We will review your request and respond within 3-5 business days.

All refund decisions are final and at Submind's sole discretion. By purchasing Submind AI Premium, you acknowledge and accept this refund policy.

Acceptable Use Policy

You agree to use Submind responsibly and lawfully. You must not:

Prohibited Activities

• Use the Service for any illegal purpose or to violate any laws
• Upload or share content that infringes on intellectual property rights
• Harass, abuse, threaten, or discriminate against others
• Upload malicious code, viruses, or any harmful software
• Attempt to reverse engineer, decompile, or hack the Service
• Use the Service to send spam, phishing attempts, or unsolicited messages
• Create fake accounts or impersonate others
• Abuse or exploit free trial periods or promotional offers
• Interfere with the security or integrity of the Service
• Scrape, copy, or extract data from the Service without permission

Violation of this Acceptable Use Policy may result in immediate suspension or termination of your account without refund.

AI Features Terms

Submind uses AI technologies (Google Gemini, Deepgram) to power transcription, chat, and smart structured notes features. By using AI features, you acknowledge and agree to the following:

AI Accuracy and Limitations

• AI-generated content (transcriptions, summaries, chat responses, structured notes) may not always be 100% accurate
• You should review AI-generated content before relying on it for important decisions or actions
• Submind is not responsible for errors, omissions, or inaccuracies in AI-generated content
• AI features are provided "as is" without warranties of any kind
• You agree to use AI features responsibly and not rely on them for medical, legal, financial, or safety-critical decisions without professional verification

Prohibited AI Use Cases

You must not use Submind AI for:

Illegal Activities

1. Planning or promoting violence, terrorism, or criminal activity
2. Child exploitation or abuse in any form
3. Human trafficking, sexual exploitation, or sexual violence
4. Illegal sexual solicitation or prostitution
5. Harassment, hate speech, or discrimination based on protected characteristics
6. Unauthorized practice of licensed professions (medicine, law, financial advice)

Dangerous Activities

1. Developing weapons, explosives, or tools designed to cause physical harm
2. Military, warfare, or defense applications without proper authorization
3. Producing or distributing controlled substances illegally
4. Operating critical infrastructure (power grids, transportation systems) without proper safeguards
5. Creating content that promotes self-harm, suicide, or eating disorders

Deception and Manipulation

1. Creating or spreading intentional misinformation or fake news
2. Generating defamatory, libelous, or slanderous content
3. Impersonating real individuals, organizations, or brands
4. Misrepresenting AI-generated content as human-created (deepfakes, fake reviews)
5. Creating fake engagement, reviews, testimonials, or social media manipulation
6. Generating spam, phishing attempts, or fraudulent content

Violation of these AI terms will result in immediate termination of your account and may be reported to relevant authorities.

Disclaimers and Limitations of Liability

Service Provided "As Is"

Submind is provided "as is" and "as available" without warranties of any kind, either express or implied. We do not guarantee that:

• The Service will be uninterrupted, secure, or error-free
• Results from using the Service will be accurate or reliable
• All bugs or defects will be corrected
• Your device will be compatible with all features

Data Loss and Backup

While Submind stores data securely in the cloud and implements security measures, we are not responsible for data loss due to server failure, accidental deletion, software bugs, or other unforeseen circumstances. You are solely responsible for backing up important content.

Third-Party Services

Submind integrates with third-party services (Deepgram, Google Gemini, Supabase, RevenueCat). We are not responsible for:

• Third-party service outages or failures
• Changes to third-party terms or pricing
• Security breaches at third-party providers
• The accuracy or quality of results from third-party AI services

External Links

Submind may contain links to external websites or other resources that we do not control or endorse. We are not responsible for the content, privacy practices, or terms of any third-party sites. Your use of external links is at your own risk.

Limitation of Liability

To the fullest extent permitted by law, Submind and its team members will not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of data, revenue, profits, or business opportunities, arising from your use of the Service, even if we have been advised of the possibility of such damages.

Intellectual Property

All intellectual property rights in Submind—including but not limited to the app design, code, features, logos, trademarks, and documentation—are owned by Submind or its licensors.

You are granted a limited, non-exclusive, non-transferable license to use Submind for personal, non-commercial purposes. This license does not grant you any ownership rights or allow you to:

• Copy, modify, or reverse engineer the app
• Use Submind's trademarks, logos, or branding without permission
• Create derivative works based on Submind
• Sell, rent, lease, or sublicense access to the Service

Account Termination

Termination by You

You may delete your account at any time through the app settings or by contacting us at contact@submind.co. Upon account deletion:

• Your account data and cloud storage will be permanently deleted
• Active subscriptions will continue until the end of the billing period
• You will lose access to all your synced data across devices

Termination by Submind

We reserve the right to suspend or terminate your account if:

• You violate these Terms or our Acceptable Use Policy
• You engage in fraudulent or abusive behavior
• Your account is inactive for an extended period
• We are required to do so by law or legal authority
• We discontinue the Service (with reasonable notice)

If your account is terminated for violations, you are not eligible for refunds.

Changes to These Terms

We may update these Terms from time to time to reflect changes in our practices, features, or legal requirements. When we make significant changes, we will notify you via:

1. In-app notification
2. Email to your registered address
3. A notice on our website

The "Last updated" date at the top of this page indicates when the Terms were last revised. Your continued use of Submind after changes take effect constitutes acceptance of the updated Terms. If you do not agree to the new Terms, you must stop using the Service and may delete your account.

Indemnification

4. Your Content uploaded to or processed through the Service
